JOB SUMMARY: Manages the development & execution of the Document Control Policy and Procedures owned by the Records and Information Program (RICP) at Universal Creative ensuring that key project documents are collected, transferred, securely stored and easily accessible by Universal Creative departments, project teams and key external customers through all phases of the development projects. Engages with project teams and departments to understand and support the tools and technologies that facilitate the ability to meet project timelines and deliverables. Responsible for tracking and managing communication, providing training requirements, performing auditing and quality control regarding the day-to-day project document deliverables performed by the designated RICP project resources. Responsible for the collaboration and alignment with organizations outside of RICP such as Project Management Office, Legal, NBCU, and construction project teams. Additionally, assists departments in the application and requirements gathering of document control and records management policies, procedures and techniques, including implementing technologies that support standardized filing systems, indexing (metadata assignment), classification schemes, central records storage, retrieval, and disposition. Maintains the centralized organizational records in the appropriate repository, facilitates the record retention schedule, provides technical assistance to all projects, and performs related duties as required.
MAJOR RESPONSIBILITIES:
- Develop and manage the implementation of the RIC Program operational document control and records management processes, procedures and policies to ensure proper project document collection, retention and retrievability of physical and electronic records and data. This includes all systems, tools and phases related to the project records lifecycle.
- Supports the strategic communications plan for the RIC Program to engage, educate, and influence key stakeholders about document and records management issues, policies, procedures, and controls.
- Manages the development, collection and reporting of records management metrics to help measure the effectiveness of the program, including escalation of issues when appropriate.
- Communicates, engages with, and supports project teams and departments to ensure the adoption of appropriate controls while facilitating technology and process needs of project teams and departments.
- Carries out standardize training and auditing on RICP Policies, Procedures and System during various phases of the development process to ensure compliance across projects and departments.
- Collaborates with key stakeholders and leaders from various divisions within NBCU and UPR to influence the adoption and on-going engagement with the RIC Program. Key stakeholder groups include IT, Legal, Tech Services and PMO among others.
- Escalates and reports status of records management activities and compliance to the Director of the RICP.
- Cascades external communications to clients and vendors about Universal’s records management practices.
- Participates on special projects and performs other duties as assigned.
- Understand and actively participate in Environmental, Health & Safety responsibilities by following established UO policy, procedures, training and team member involvement activities.
- Performs other duties as assigned.
ADDITIONAL INFORMATION: Non-routine; Significant decision-making and ability to adapt strategy to complex, expanding development environment with multiple internal and external stakeholders; detailed understanding of technical issues required. Influences decisions of complex nature requiring high degree of tact. Planning horizon: Execute short term strategy while maintain focus on a longer-term RIC program vision. Planning knowledge: In-depth department operating plan; awareness of overall Company goals. Responsibility: Implement and manage RIC Program. Required knowledge of various digital applications, file formats and design limitations. Knowledge of various documentation management and collaboration solutions such as SharePoint, Office365, PMWeb, Aconex, Egnyte, among others.
CERTIFICATIONS, LICENSES, REGISTRATIONS:
Preferred but not required:
- Information governance professional (IGP) – American Records Management Association
- Electronic Records Management Practitioner – AIIM
- Certified records manager – Institute of Records Managers
EDUCATION: Bachelor’s degree is required. Master’s degree is preferred.
EXPERIENCE: 10+ years of relevant document control experience required. Experience in fast-paced, document intensive industries preferred (architectural firm, construction, engineering, design studio); or equivalent combination of education and experience. Prior direct report supervisory experience, preferred.

[Ariel] The Universal Creative internship program is full of extraordinary opportunities for interns to gain hands-on work experience. [Jeff] Ever since I was a little kid, I always wanted to take part in designing spaces that creates some of the fondest memories for people. [Griffin] The idea of blending technology, engineering, and storytelling really spoke out to me. And I wanted to be an environment where I could learn for those who really know what they're doing. [Ariel] I looked and the job description was amazing. It was literally everything that I've ever wanted out of an internship. [Ana] Some of the cool things that I've been able to do is see a lot of behind the scenes about how the park is run, and just envisioning the future worlds of tomorrow. It's been a really cool experience just to see what's coming up. [Carey] I've done some really cool attraction walkthroughs. I've got to walk through Hulk and Kong Skull Island and Forbidden Journey, and those were really incredible experiences. [Griffin] I think the cool thing about the Universal Creative internship is, you have a lot of opportunities to work with others and do what you want to do. [Jeff] I never expected any sort of company to be like this. [Emily] I really feel like I can be myself here. Everyone's been so opening and welcome. I don't have to put on a mask. I don't have to be somebody that I'm not. I can just be my genuine, authentic self. [Carey] I would say the culture at Creative is really a community and teamwork based. [Ariel] Everyone's so invested into the interns, and that's something unique. [Ana] You can ask a question and you'll always get an answer. [Tyler] Everyone's always happy and I'm willing to help you out when you're trying to learn something new, or you don't know how to do something. [Griffin] And as a student, it's very important to get that career guidance as you go on through more classes, and it's been a really great opportunity to get that in a very open environment. [Carey] For future interns, I would just say network and learn as much as you can. It's a really incredible opportunity and everyone wants to help you out. [Emily] Embrace your time here. Take advantage of your time here because it goes by so fast. [Ana] There's no such thing as you're only doing one job here. [Griffin] You have a lot of opportunities to go outside of your scope of work as an intern. So use it as an opportunity to absorb everything like a sponge. [Ana] Join the Universal Creative team.
